Rooms types

t is possible to specify a custom ordering of the room types only for the View 'Rooms List'. The search results page will always sort the room types by price ascending and by best-criteria for the adults occupancy requested.

By creating a new Shortcode of type 'Rooms List' from the Marketup-booking Dashboard in the Administrator, you will find a list of parameters for that specific View. You can choose the ordering type from the parameters as well as the sorting type (ascending or descending). Rooms can be ordered by Price, Ονομα, ID ή randomly.

Each Room Type has a number of units available as full inventory. This number defines the number of times that the same room type can be booked on the same dates.

The remaining availability is calculated by taking the number of bookings received on the dates requested. Marketup booking does not have an inventory for each date of the year but rather a full inventory number and the bookings lowering (or closing) the availability on certain dates. This will let you save time and the system will not require to maintained periodically for uploading the inventory on future dates. The system knows what's the full availability of the room type and how many types this has been booked on certain dates.

If your property is listed on some OTAs (like Booking.com, Expedia, Agoda, Airbnb etc.), it is important to keep the same room types/properties configuration as on the OTA. This way, if you will ever decide to use channel manager, the availability synchronization will work smoothly.

Single Apartments, Villas or Vacation Houses that can only be booked once on the same dates, should always have 1 unit as units available for full inventory.
Hotels having multiple units of the same room type (like Single, Double, Double Deluxe, Triple etc.), should group them into one room type with multiple units available.

From the creation/edit page of the rooms, it is possible to define the following characteristics for the guest occupancy:
- Minimum and Maximum number of Adults allowed.
- Minimum and Maximum number of Children allowed.
- Minimum and Maximum number of total Guests (Adults + Children) allowed.

The Marketup Booking system will use those properties when making a search on any dates of the year. The room types reflecting the search-criteria of Adults-Children, will be available for booking.

Please notice that setting a minimum number of Children to 1 will produce no results if searching for 0 Children. The same thing works for the Adults configuration: if 1 Adult is the minimum number allowed, booking that room for just some children, will not be possible.

f your Room Type has more than one unit available as full inventory, then you can specify certain features for each unit. By editing one room from the back-end, you can display the Distinctive Features for each unit of that room type.

The Distinctive Features are composed of an unlimited number of Key-Value Pairs to define the name of the Feature (Key) and the Value of the feature (Value) for each unit. The default feature for each unit is the 'Room Number' which is the feature that is mostly needed by any type of accommodation.

Using this function will guarantee a better management result for the back-end so that you will know, for example, in which room number each customer is staying.

The screen shot below shows a room type called 'Triple Deluxe' with 5 units available as full inventory. There are two Distinctive Features specified for each unit: Room Number and Room Code.

There is a setting in the Marketup Booking Configuration page to enable the assignment of the rooms units to each booking. This setting is called 'Auto-Assign Room Units' and it should be enabled if you are going to number each unit of your rooms or to set some Distinctive Features in general.

The result of using this function is the one displayed in the screen shot below for one booking for this room type 'Triple Deluxe':

The same assignment is displayed in the Dashboard page, under the section 'Today's Occupancy'. Any receptionist will easily see in which rooms certain customers are staying:

Using the Distinctive Features is useful also for the page Availability Overview

Allocating certain customers to certain indexes of your rooms will make all the management functions easier. Rather than using many different room types, thanks to this function it is intuitive to manage the exact rooms booked even when working with less room types, but with more units available. This is the result of the page Availability Overview that shows the current availability of each sub-unit:

The last thing you should know about the Distinctive Features is that the confirmation email message sent to the Customers, could contain this information. This means that the customer could be informed through the confirmation email about the Room Number (or any other feature) that was assigned to his booking.

From the Configuration page, 3rd tab Views and Layout, you can edit the default Customer Email Template with the HTML editor. Search in the file for the special tag {roomfeature VBODEFAULTDISTFEATUREONE} and you will find the explanation for using other distinctive features. Remove that special tag for not including the Room Number in the confirmation email for the customer and for use this function only for management purposes. Please notice that the confirmation email for the customer will include this information only if the Configuration setting 'Auto Assign Room Units' is enabled.

Some rooms can be closed on some dates of the year to stop the bookings. The rooms inventory of Marketup Booking is not based on daily availability where each day of the year must have a number of units available and some rates. With Markeup Booking you don't need to set the rates and availability inventories for the next year in order to be bookable (unlike some portals); this was made to reduce the management operations and save time.

For this reason, in order to close a room on some dates, the system requires to have a sort of a 'fake' booking that keeps all the units of a room unavailable. You can close a room from the page 'Booking - Calendar' of the back-end.

In the Quick Reservation Form, you will just have to set the closing dates (it's a date range) and to tick the checkbox 'Close Room in these dates'. The screen shot below shows how to do this operation:

Please notice that some dates that were already booked, cannot be closed. In this case it is necessary to remove that booking by setting it to 'Cancelled' before closing the room on those dates.
Otherwise, another solution is to manually block all the remaining units by creating reservations from the same page above. The room should not be set to 'Closed' but you should just have other bookings that keep the remaining units as not available. Remember that you could also create a dummy booking from the front-end and set it to Confirmed manually from the back-end. This would reduce the units available (inventory) for those dates.

If you need to close all your rooms and set some closing periods in the Marketup Booking system, then you have two options:

1. Close all your rooms, either one by one or all of them by using the apposite drop down menu, from the page 'Bookings - Calendar' by ticking the checkbox "Close Room".
2. Set some Closing Dates from the page Configuration.

If all the rooms should be closed on some dates, then it's easier and faster (only if you are not using the Channel Manager, or if you don't need to close the rooms on the channels, otherwise the option#1 is what you should use) to set some closing dates from the Configuration page (option #2):

Remember that the rooms can be set back to 'open' by removing the close-room-booking if you opted for the solution #1. For the solution #2, it is sufficient to remove the closing dates as the screen shot above shows.
